What is dutyof.care?

dutyof.care is a software platform that helps to strengthen the framework protecting children and vulnerable people in our community. The application provides greater safeguards with the automation and validation of mandatory accreditation checks such as the Working with Children Check and professional accreditation screening for teachers and allied health providers. It does this in the following ways:

Proactive prevention
Accreditations are checked for validity and expiry on an on-going basis. An accreditation is only valid at a point in time and most organisations only check a card once during onboarding.

Permanent Proof

dutyof.care ensures that tamper proof, secure and auditable digital records of continuous verification are maintained indefinitely.

Compliance Reporting

Proactive risk management through real-time reports to management and boards.

Why do I need dutyof.care?

You have a legal responsibility to ensure the safety of vulnerable people in your care. This legal responsibility cannot be delegated as the board and directors remain legally culpable.

For example;

Are you certain that right now, you could prove with absolute confidence that all your volunteers and staff have current valid accreditations and have not had criminal charges in process that you have not been notified of?

Can you provide management a report that proves this on a daily basis?

In 5 years time, could you provide the same proof that all your volunteers and staff had valid accreditations?

In 45 years time, could you provide the same proof that all your volunteers and staff had valid accreditations?

Is it easy to set up and use?

Registering on dutyof.care is simple, quick and affordable. All you need to begin to use the system is your organisation’s name, your name and your organisation’s email address. There is no need to enter your credit card details and it takes less than 2 minutes to complete the registration page. Using the application is easy and we have a range of topics available in our Help Library to guide you.

Is there a commitment period?

No. There is no commitment period from when you register to use dutyof.care.

Is there a limit on the number of users?

There is no limit on the number of users that can access your instance of dutyof.care. You may add as many users as you like to help you manage your organisation. Our tiered pricing model is based on the number of people in your organisation requiring checks to their accreditations.

Can I migrate my existing data into dutyof.care?

dutyof.care provides a bulk upload feature for you to upload all of your data easily and seamlessly from a csv file. The time it takes to display the uploaded data is immediate unless you have a very large number of constituents.

Alternatively, you can speak to our team about integrating the dutyof.care platform with your existing IT infrastructure to reduce the number of unique systems your team needs to access.

Can I access reports from dutyof.care?

The operational dashboard will show you the number of accreditations that are:

  • Compliant
  • Expiring Soon (6 weeks)
  • Have a New Card Available (for renewals)*
  • Application is Processing (for renewals)*
  • Expired
  • Invalid

*for Victorian Working With Children’s Check.

For paid subscriptions, you can also have access to a Board Report which shows your organisation’s compliance.

Why can't I manage my checks with my HR system? Isn't dutyof.care just another IT system?

The simple answer is ‘record management’. Human error in mistyping names and numbers into HR systems is common. dutyof.care’s proactive prevention immediately informs you that the data has not been entered correctly so it’s impossible to store ‘bad data’ in the system. The continuous screening of the accreditation strengthens the current child safe framework by ensuring that if a person’s accreditation is revoked you will be notified by dutyof.care where the relevant authority may not have informed you due to:

  • your organisation failing to register your staff and volunteers
  • your staff or volunteers disassociating themselves from your organisation.

Other IT solutions provide expiry management and perhaps real-time one-off checks. dutyof.care has continuous regular re-verification with real-time alerts on the status change of accreditations and a permanent record of your continuous screening.

I don’t have many volunteers why can't I just maintain the list on a spreadsheet?

The Royal Commission into Institutional Responses to Child Sexual Abuse recommended that organisations keep records for up to 45 years post-engagement with child related work. Spreadsheets are not feasible to be kept for 45 years no matter how well you think you are doing this. Data entry errors are also possible and having to constantly monitor expiry dates and chase people up is time consuming and error-prone. dutyof.care alerts you 6 weeks before an accreditation is due to expire giving you enough time to alert your staff. We're a small volunteer run organisation, how can you help us?

Our mission is to make vulnerable people safer. To do that, we need as many organisations to use dutyof.care as possible. That’s why we offer free access to all small registered charities and not-for-profits with an annual turnover of less than $250,000 and a workforce of under 20 people. Simply follow the sign up process for a free 30 day trial. We will contact you before the end of the trial period, so all you need to do is let us know if you wish to continue using dutyof.care as a free subscriber.
